Job Description
The Class I Office Agent is a key administrative role at Alexander Galt Regional High School, responsible for supporting the school’s daily operations. This includes managing a variety of tasks, such as handling administrative documentation, financial record-keeping, and assisting with budget preparations. Key Responsibilities
- Administrative Support: Draft, prepare, verify, and follow up on various reports and documents such as invoices, purchase orders, receipts, payroll, absence records, and more.
- Financial Record-Keeping: Maintain accounting books, make journal entries, reconcile accounts, receive and make payments, and manage petty cash.
- Budgeting Assistance: Compile budget data and help prepare unit or department budgets.
- Contacting Internal and External Stakeholders: Communicate with individuals within and outside the school board to exchange information related to your duties.
- Draft Correspondence: Write official correspondence related to the tasks at hand.
- Aptitude Testing and Examinations: Administer and coordinate administrative operations for aptitude tests and exams.
- Team Coordination: Train new Class I Office Agents and support staff, coordinating their work as needed.
- Other Duties: Perform any other tasks related to the role as requested by the supervisor.
Desired Profile
Education & Experience
To qualify for the Class I Office Agent position, you should meet at least one of the following educational backgrounds:
- Diploma of Vocational Studies (DVS) in an appropriate field.
- Diploma of Secondary Studies or equivalent, along with one year of relevant experience.
Additional Requirements
- Bilingual: Fluent in both English and French (spoken and written).
- Computer Skills: Proficient in software like Microsoft Word, Excel, Outlook, and database management.
- Interpersonal Skills: Strong communication and teamwork abilities.
