Key Responsibilities

Office Management

  • Act as the main point of contact for office operations, including mail, supplies, and building security.
  • Ensure visitors are greeted warmly and manage the reception area professionally.
  • Maintain health and safety protocols, serving as a fire warden when required.

Administrative Tasks

  • Coordinate employee recognition programs, service awards, and email distribution lists.
  • Order and manage refreshments for meetings, including Executive and Board meetings.
  • Respond to inquiries in the CareRx mailbox and manage administrative challenges effectively.

Technology and Event Coordination

  • Set up and troubleshoot video conferences using Teams and Zoom.
  • Organize events, conferences, and meetings, handling logistics and participant coordination.

Expense and Travel Management

  • Process and manage travel expenses for the CEO.
  • Approve invoices on systems like DocLink and ensure accurate expense tracking.

Skills and Qualifications

Education

  • Post-secondary certificate, diploma, or degree is required.

Experience

  • 1-3 years of experience in a corporate head office supporting teams.
  • Proficiency in Microsoft Office, Zoom, and other office tools.
  • Experience handling sensitive information with professionalism and discretion.

Key Skills

  • Strong organizational and time-management abilities.
  • Exceptional multitasking and attention to detail.
  • Proficient written and verbal communication skills.
